Checklist of information to be submitted on My Open Call

Here you can find a list of the information and documents to be entered in My Open Call:

Registration and profile of a Belgian company

When registering and logging in:

• the name of the project
• the name of the client
• the current stage of the project
• the date this stage was reached
• your role in the project
• confirmation that the fee or competition renumeration you received was at least €1.000 (excluding VAT if applicable)

When completing the profile (agency data):

• ESPD
• Membership number of the Order of Architects (optional)
• First name and surname of the person on the Flemish register of spatial planners + validity date (optional)
• 3 projecten met volgende gegevens:
  • Project name
  • Client
  • Stage (dropdown)
  • Date this stage was reached
  • Role in the project (dropdown)
  • Confirmation that the fee or match fee for these services was a minimum of €1,000. (Excluding VAT if VAT applies).
  • Preferred language (Dutch or English)

Registration and profile of a non-Belgian company

When registering and logging in:

• ESPD (see manual for info on UEA creation)
• Membership number of the Order of Architects (optional)
• First name and surname of the person on the Flemish register of spatial planners + validity date (optional)
• 3 projecten met volgende gegevens:
  • Project name
  • Client
  • Stage (dropdown)
  • Date this stage was reached
  • Role in the project (dropdown)
  • Confirmation that the fee or match fee for these services was a minimum of €1,000. (Excluding VAT if VAT applies).
  • Preferred language (Dutch or English)

When completing the profile (agency data):

• ESPD (see manual for info on UEA creation)
• Proof of compliance with social security obligations
• Proof of tax compliance
• Proof of non-bankruptcy and financial status 
• Proof of registration with the Architects' Association in the country of registration (optional)
• First name and surname of the person on the Flemish register of spatial planners + validity date (optional)
• 3 projects with following data:
  • the name of the project
  • the name of the client
  • the current stage of the project
  • the date this stage was reached
  • your role in the project
  • confirmation that the fee or competition renumeration you received was at least €1.000 (excluding VAT if applicable)

In a sumission, a ‘candidate’ may consist of an agency or a temporary partnership (group of agencies). The details of an agency are extracted from the profile. In addition, 3 specific references are requested: 2 references that respond to the stated ambition (see selection guideline of the project) and 1 reference that responds to an ambition chosen by you for the project:

• your ambition for this project (max. 1,000 characters)
• your role in the project (max. 500 characters)
• a maximum of 8 images

• your role in the project (max. 500 characters)
• maximum of 8 images

The threshold for applying for an Open Call project is as low as possible. However, if you are unable to meet the technical and professional requirements (3 projects in your profile) or to provide specific references when submitting your application, you can rely on the capacity of a subcontractor.

For this, you will need to provide additional information:

• Name of the subcontractor
• Company number of the subcontractor
• Website of the subcontractor
• Signed commitment agreement (download model)
• Uniform European Tender Document (UEA) subcontractor (see manual for info on creating UEA)

Additionally for non-Belgian subcontractors:

• Proof of compliance with social security obligations
• Proof of compliance with tax obligations
• Proof of non-bankruptcy and financial status
